1. Controller

Company registration numbers are published on the Imprint.

2. Transport enquiries

Personal data supplied when asking for a quotation or transport may be processed to respond to the enquiry, prepare a quotation, verify requested transport details, and communicate before entering into a transport contract.

Where applicable, that processing is based on taking steps requested before entering into a contract.

Where the person contacting ProNex is acting on behalf of a company, processing may also rely on legitimate interests in handling business communications, where those interests are not overridden by the data subject’s rights.

3. Confirmed transports

For a confirmed transport, data may be processed for:

• performing the agreed transport
• pickup and delivery communication
• transport documentation
• customer support
• invoicing
• handling complaints or claims
• legal and accounting obligations

The legal basis may include:

• performance of a contract
• compliance with a legal obligation
• legitimate interests in establishing, exercising or defending legal claims, where applicable and not overridden by the data subject’s rights

4. Categories of personal data

Depending on what is actually supplied, personal data may include:

• name
• company
• business contact details
• email
• phone
• pickup and delivery addresses
• contact persons at pickup or delivery
• cargo and transport information
• customer references
• communications relating to the transport
• transport documentation where it contains personal data

This describes information that may be processed when contact is made. It does not mean that every listed field is currently collected through an on-site form.

Hosting or security infrastructure may also process technical request or security records, such as IP address, browser type and time of access, where such records are created to operate and protect the website. Exact log retention is not described here until that infrastructure is confirmed.

5. Retention

Personal data is retained only for as long as needed for the purpose for which it was collected and for any legal, accounting or dispute-related obligations that apply. Different records follow different periods.

Enquiries that do not become confirmed transports. These are normally retained only for as long as reasonably necessary to deal with the enquiry and related follow-up. The operational target is up to 12 months after the last substantive communication, unless the customer requests earlier deletion and no lawful reason requires retention, the data is required for an ongoing dispute or claim, or law requires a different period.

Confirmed transports. Operational correspondence and transport records containing personal data may be retained for the period reasonably necessary for performance, settlement of claims and defence of legal rights, taking account of applicable transport and limitation rules.

Accounting documents. Where personal data forms part of accounting documentation, it is retained for the statutory accounting retention period. Accounting documents are generally retained for 10 years following the year to which they relate, where required by Slovak accounting law. That period applies to accounting documentation, not to all customer data.

6. Recipients

Personal data may be disclosed where necessary to categories of recipients such as:

• IT and hosting providers
• email and communication service providers
• accounting or professional advisers
• transport or service partners where actually required for the confirmed transport
• public authorities where required by law

Disclosure is made where such a recipient is actually involved in the relevant service. It does not mean that transport is routinely subcontracted.

We do not sell personal data. We do not currently operate advertising or analytics tools on this website.

7. International transfers

If a service provider processes personal data outside the European Economic Area, ProNex will use an appropriate transfer mechanism required by applicable data-protection law.

8. Cookies and technical storage

No analytics or advertising cookies are currently implemented in this Express Transport workspace. Strictly necessary technical storage may be used only where required for the website to function.

9. Your rights

Where applicable under GDPR, you may request:

• access to your personal data
• rectification of inaccurate data
• erasure
• restriction of processing
• objection to processing, where that right applies
• data portability, where that right applies
• withdrawal of consent, where consent is the legal basis, without affecting processing that already took place

These rights are not unlimited. Whether a particular right applies depends on the legal basis and the circumstances.

You also have the right to lodge a complaint with the competent supervisory authority in your country of habitual residence, place of work, or place of the alleged infringement.
